Run an account contact safety check before outreach

Check whether a B2B account can receive useful contact without collecting sensitive personal information or making assumptions about individuals.

Define what an account safety check can establish

An account contact safety check is an operational review, not an assessment of anybody's physical safety. Its purpose is to decide whether commercial contact is appropriate, useful and supportable. Conflict-related disruption may affect office access, communications, procurement or staffing, but a salesperson should not infer an individual's circumstances from a location.

Ready.gov's resource guidance includes people, systems, facilities, information and external partners. Use these categories to identify business dependencies rather than investigate employees' private lives. An organization's published service notice may be relevant evidence; a person's social media activity is not permission to make sensitive assumptions.

Prefer organization-level evidence

Check official company notices, an established account contact and existing service records. Record the source and observation date. Distinguish a confirmed request to stop contact from an unanswered message or a general regional concern. Silence should not trigger repeated attempts across personal channels.

If an existing customer needs an essential update, use the agreed business route and keep the message narrowly relevant. If the purpose is optional prospecting and suitability remains unclear, defer outreach. Do not request travel details, family information, political views or an explanation of why a person is unavailable.

Complete an illustrative contact decision worksheet

The following worksheet is a planning example, not a guarantee that contacting an account is safe. Choose the least intrusive action consistent with a legitimate business need. Where an account has explicitly requested no contact, preserve that instruction across campaigns rather than treating each new list as a fresh decision.

  • Purpose: distinguish essential service communication from optional selling.
  • Evidence: note an official business update or direct account instruction.
  • Route: identify the existing approved business contact channel.
  • Decision: proceed narrowly, defer outreach or escalate uncertainty.
  • Privacy: retain only the operational reason and review responsibility.

Connect the decision to actual systems

A decision recorded only in a meeting note will not stop an automated sequence. Update account ownership, suppression controls, meeting invitations and agency instructions where relevant. Provide a neutral internal label such as contact deferred, with access limited to people who need it.

Ready.gov recommends securing and maintaining communications contact information. Apply that principle to the decision record as well. Muntery Strategic can use the check during account planning and before major campaign changes, while recognizing its limits: it supports respectful outreach decisions and does not replace emergency guidance, security expertise or an individual's own preferences.
