Email deliverability basics for outbound senders

Separate message acceptance from inbox placement, then check authentication, recipient quality and sending behavior before increasing activity.

Understand what delivered actually means

A delivery event usually means that the receiving server accepted the message, not that the recipient saw it in the primary inbox. Filtering can still place an accepted message in spam, and a recipient may never read an inbox message.

Keep attempted sends, accepted messages, bounces and human replies as separate records. This prevents a dashboard's delivery percentage from becoming an unsupported claim about visibility or buyer interest.

Establish identity before sending campaigns

Ask your administrator to verify SPF and DKIM for every service that sends on your behalf, then check DMARC alignment with the visible From domain. A successful test from one mailbox does not prove that your outreach platform uses the same authenticated path.

Google distinguishes requirements for all senders from additional requirements for bulk senders to personal Gmail accounts. Read the current guidance for your situation, and check your own sending provider's acceptable-use rules before assuming unsolicited outreach is supported.

  • Inventory every sending service.
  • Inspect authentication on a real test message.
  • Confirm the reply mailbox works.
  • Review applicable provider requirements.
  • Assign an owner for delivery alerts.

Treat recipient relevance as an operating control

An address can be technically valid while the message is unwanted or inappropriate. Build a narrow audience, document why each role belongs in it, and exclude previous refusals before a campaign starts.

Avoid sudden increases in activity that your team cannot monitor or answer responsibly. If complaints, deferrals or refusals increase, investigate the audience and sending process instead of treating higher volume as the solution.

Diagnose changes by cause

Compare results by receiving provider, sending identity, list source and campaign version. A provider-specific rejection suggests a different investigation from a broad rise in invalid-recipient failures.

Pause the affected stream when failures show a pattern, preserve the response codes and identify the owner of the fix. Resume only after checking the cause; changing domains or rewriting a few words is not a substitute for diagnosis.
