Resolve agency lead-sharing confusion before sponsor follow-up
Clarify who receives inquiry data and prevent one sponsorship request from becoming unrelated agency outreach.

Map where the inquiry information goes
A sponsor inquiry can pass through a rights holder, marketing agency, outbound partner and commercial representative. If each party treats the request as permission for its own campaigns, a simple inquiry can become several unexpected sales sequences.
Draw the actual data flow, including exports, shared inboxes and subcontractors. Identify who decides how information is used and who handles it under instructions. Do not assume a contract label accurately describes operational behaviour; seek qualified privacy review where responsibilities are unclear.
Separate the requested response from new promotion
Document what the visitor asked for and what information is necessary to answer. A reply about a named sponsorship opportunity is not automatically the same activity as adding the person to an agency's unrelated prospecting database.
ICO B2B guidance explains that personal-data obligations can apply in business contexts and that electronic-marketing rules depend on recipient and channel. Its direct-marketing checklist supports planning these uses before launch. Review applicable jurisdictions rather than treating B2B as blanket permission.
Use a recipient-and-purpose worksheet
For every receiving party, record the information received, operational purpose, relevant notice, access owner and retention approach. Check whether the visitor-facing explanation reflects actual sharing. Remove recipients who have no necessary role instead of adding vague language to justify unlimited access.
Submit a synthetic inquiry and follow its distribution. Inspect agency notifications, CRM automations and exports. Then test a stop request to establish whether all relevant systems can prevent inappropriate further marketing.
- Each recipient has a documented role and purpose.
- Inquiry handling is separated from additional marketing use.
- Notices match actual information flows.
- Objections and withdrawal requests reach the systems that act on them.
Repair automation and partner instructions together
Update routing, access and campaign-enrolment rules alongside the approved privacy explanation. A rewritten notice alone will not stop an agency workflow from adding every inquiry to a sequence. Give partners clear instructions about permitted use and escalation.
Review a small sample after deployment and retain evidence of the corrected flow. Explain any historical issue to the privacy owner rather than quietly deleting evidence. The aim is a transparent response process in which buyers understand who is contacting them and why.
