Define the purpose of the invitation

Cricket hospitality can support customer development, partner introductions or prospective buyer conversations. Choose the purpose before building a guest list. An event for existing customers needs a different invitation and follow-up process from a prospecting event, even when both use the same venue.

Define a useful outcome without making attendance feel transactional. An illustrative goal is to understand whether invited operations leaders want a later discussion about a specific service. Hospitality attendance is not itself a qualified opportunity, and a guest should not need to accept unrelated marketing to receive basic event information.

Keep registration proportionate

Collect information needed to administer the event, such as guest name, organisation and contact details. Ask separately about practical requirements, explaining who needs the information and how it will be handled. Avoid collecting sensitive details through an open spreadsheet shared across sponsors, hosts and suppliers.

Provide clear privacy information at collection and distinguish event administration from promotional follow-up. ICO guidance explains that UK GDPR can apply to business contacts’ personal data. The PECR position also depends on subscriber type; a business email address does not automatically make its holder a corporate subscriber.

Capture context rather than badges

Give hosts a short conversation template: business topic discussed, requested resource, agreed next step and responsible colleague. Record factual notes rather than guesses about budget or personal circumstances. Ask before making an introduction and do not circulate attendee details simply because several organisations helped fund the event.

For illustration, a useful record might say: requested a procurement checklist; agreed that a named adviser may email it next week. That is more actionable than a lead score based on attendance alone. Any broader marketing sequence needs its own compliance assessment and a clear way to object.

Follow up according to the conversation

Send requested material promptly, without disguising a promotional sequence as event administration. Identify the sender and business, explain the context and make stopping further marketing straightforward. Where consent is required, ensure it meets the relevant standard; do not assume a badge scan or business card supplies it.

Measure invitations accepted, guests attending, meaningful conversations and agreed follow-up separately. Review progression to qualified opportunities later, using documented attribution rules. Muntery Strategic’s role in the plan is to make handover disciplined, not to imply that hospitality guarantees meetings, sales or permission to contact every guest.
