Reschedule sales appointments respectfully after an earthquake
Manage affected meetings without automatic no-show penalties, conflicting invitations or pressure on clients and staff.

Remove pressure before offering new dates
An earthquake can disrupt both sides of a sales appointment. Start by acknowledging that the meeting may need to change and that an immediate reply is unnecessary. Do not treat an affected person's silence as disinterest or automatically place them into a missed-meeting sales sequence.
This article concerns appointment administration, not advice about travel or personal safety. Follow relevant local authority instructions and link to official earthquake guidance where appropriate. Nobody should attend, host or relocate a meeting merely to protect an attendance metric.
Create one authoritative appointment list
Reconcile the calendar, CRM and any manual notes into a controlled working register. Classify each appointment as unchanged and confirmed, awaiting review, postponed or cancelled. Assign one owner so the client does not receive conflicting messages from a salesperson, scheduler and automated reminder.
Check whether reminders, conferencing links and booking-page availability still match reality. A meeting can appear postponed in the CRM while the calendar continues sending reminders. Where systems are inaccessible, record uncertainty and communicate it honestly rather than marking an unverified cancellation as complete.
Use a rescheduling worksheet
For illustration, the following record supports a single affected appointment. Only offer replacement slots once an available host and functioning meeting channel are confirmed. A proposed option is not a booking until both parties accept it.
- Appointment: discovery discussion with Example Prospect C; status: postponed.
- Original invitation: cancellation or amendment confirmed in the calendar.
- Automation: no-show sequence and reminder workflow checked and paused.
- Client preference: offer later options or allow the client to return when ready.
- New booking: confirmed host, timezone, channel and explicit acceptance recorded.
Restart the schedule at a manageable pace
Do not compress all postponed meetings into the first available day. Review actual staffing, preparation time and reply coverage before publishing replacement availability. Protect time for unresolved client issues and allow staff to revise their availability without needing to disclose personal circumstances.
Report disruption-related postponements separately from ordinary sales outcomes so the team does not distort conversion analysis or pressure people to recover a number. After scheduling stabilizes, review duplicate invitations and confusing wording. Ready.gov's continuity resources support testing workflows like this in advance, including how an appointment can be paused across every connected system.
