Define the actual availability change

A banner saying services unavailable may conceal a narrower problem: onboarding is paused, one region lacks coverage or existing clients have support while new projects cannot start. Overly broad notices lose relevant inquiries; overly optimistic notices create expectations delivery cannot meet.

Ask the operations owner to define the affected service, audience, geography and next review point. Separate confirmed facts from estimates. If the recovery date is unknown, say what is known and when the information will next be reviewed rather than inventing a reopening date.

Inventory every place the old claim appears

Check landing pages, advertisements, inquiry confirmations, scheduling tools, proposal templates and outbound sequences. A corrected homepage does little if active campaigns still promise immediate starts. Include regional versions and downloaded materials that sales representatives continue to circulate.

UK business advertising rules explicitly consider availability among relevant product characteristics. W3C notification guidance supports clear, understandable feedback when someone submits a request. Together, these provide useful checks for both the claim and the interaction, while other markets need their own review.

Run an availability scenario worksheet

Create test scenarios for a new buyer in the affected market, an unaffected buyer and an existing client. Follow each person's likely journey. Record the message seen, action offered, receiving team and acknowledgement received.

Check that a waitlist is genuinely supported and clearly described. Joining one should not be presented as a confirmed booking. If visitors can request notification, explain that purpose and review any later marketing use separately.

  • Notice identifies exactly what is restricted.
  • Alternative actions are operationally supported.
  • Forms and booking tools respect the same restriction.
  • Every notice has an owner and a review trigger.

Restore claims only after operational confirmation

Use the same inventory when normal availability returns. Remove temporary wording only after the service owner confirms capacity and receiving teams are ready. Otherwise, one team may reopen campaigns while another continues declining the resulting requests.

Keep a short change record showing what changed and who authorised it. Review complaints involving outdated availability as a signal of distribution failure. The goal is not a reassuring banner; it is a consistent explanation that lets buyers make informed decisions.
