Why cold emails land in spam and what to check first
Investigate spam placement in a practical order: verify the symptom, inspect authentication, review reputation signals and assess recipient relevance.

Confirm whether the problem is rejection or placement
Start by collecting the actual evidence: rejection responses, deferred deliveries, accepted messages reported in spam or a change in human replies. These are different symptoms and should not be grouped together as a single deliverability failure.
A test inbox shows what happened to that message in that account, not a universal placement result for your whole audience. Likewise, a low open rate cannot prove spam placement because tracking is affected by privacy features and image-loading behavior.
Check authentication and message identity first
Inspect the headers of a real message sent through the affected service and verify SPF, DKIM and DMARC alignment. Compare the visible From address, signing domain, envelope identity and reply address for inconsistencies that an administrator should investigate.
Review recent DNS, routing or sending-platform changes before editing the copy. Use the receiving provider's current sender requirements and your provider's diagnostics rather than assuming a successful manual message proves the campaign configuration is sound.
- Collect the original failure or message headers.
- Confirm which sending service was used.
- Inspect authentication and alignment.
- Review recent infrastructure changes.
- Check recipient-provider requirements.
Review behavior, recipient quality and reputation signals
Look for sudden activity changes, repeated invalid recipients, complaints and large batches from uncertain data sources. Where reporting is available, compare receiving providers and sending streams to identify whether the problem is broad or concentrated.
Authentication cannot compensate for unwanted mail or poor targeting. Check whether recipients plausibly own the problem, whether previous objections were suppressed and whether your sending provider permits the campaign in the first place.
Inspect content without chasing magic words
Review misleading subjects, unclear identity, suspicious destinations, unnecessary attachments and broken links as part of the full message experience. Do not assume that removing one supposed spam word or switching to plain text will repair reputation or permission problems.
Change one diagnosed issue at a time, document the action and monitor the affected stream before expanding activity. If the cause remains unclear, pause and escalate with headers and response codes rather than rotating domains or repeatedly resending the same campaign.
