Reducing meeting no-shows after appointment setting

Improve the handoff between agreeing to meet and actually attending. Confirm purpose, remove scheduling friction and use a respectful recovery process when a buyer misses the call.

Appointment setting planning for meeting confirmation and attendance

Confirm a reason to attend before booking

A buyer may agree to a time without understanding why the meeting is worth attending. Before scheduling, summarise the business topic and ask whether the proposed discussion would be useful.

Avoid booking a demonstration when the buyer agreed only to an introductory conversation. Clear expectations help the account executive prepare and give the buyer a concrete reason to protect the time.

Remove calendar and access friction

Confirm the email address, buyer's time zone, duration and intended attendees before sending the invitation. Check that the meeting link works and that joining does not require unexpected permissions or software.

Use a descriptive title and a short agenda rather than a generic invitation that says only 'Quick chat.' Offer a straightforward way to reschedule, and do not treat a sent invitation as proof that the buyer received or accepted it.

  • Correct email and time zone
  • Clear meeting purpose
  • Appropriate duration
  • Working joining link
  • Relevant attendees included
  • Simple rescheduling option

Use reminders to support the agreement

Send a confirmation that reflects the actual discussion and any agreed preparation. A later reminder can restate the purpose and joining details without adding a fresh sales pitch.

Keep reminders proportionate and use channels the buyer expects. Do not add personal messaging channels or repeated phone calls simply because the person accepted a calendar invitation.

Recover missed meetings without blame

If the buyer does not join, check for a link problem or last-minute message before assuming they lost interest. Send a brief note acknowledging that schedules change and offer an easy way to choose another time.

Define a limited recovery process and stop when the buyer declines or does not engage further. Track no-shows separately from advance cancellations and reschedules, then review patterns by booking source, lead time and meeting purpose.
