Stop outbound emails promoting withdrawn campaign offers
Find stale links and promises in active sequences when a regional service or sponsorship package changes.

Treat a live sequence as a published asset
When a package closes or a service changes, teams often update the website but forget scheduled outreach. Prospects can then receive an apparently current email promoting unavailable inventory or a retired delivery promise. The sender may not see the problem until a buyer replies.
Inventory active sequences, queued messages, saved templates and representative-written variations. Include links embedded in signatures and calendar descriptions. Record both the destination and the email's explicit claims because a corrected page cannot fully explain a misleading sentence in the message itself.
Distinguish a changed offer from a changed URL
If the same service has moved, the repair may involve its destination. If the commercial offer has ended, quietly redirecting to a different package can mislead recipients about what was proposed. State the change where a reasonable buyer needs it.
UK business-advertising rules address misleading information about availability and conditions. ICO guidance separately addresses business marketing and objections. An operational correction should not become an excuse to restart contact with recipients who have already declined further marketing.
Run a queued-message worksheet
For each sequence, list owner, audience, next scheduled step, quoted offer, destination and required action. Pause affected steps while the offer owner decides whether to replace, explain or retire them. Avoid editing shared templates without checking which live sequences inherit changes.
Send approved previews through the actual delivery workflow to internal test recipients. Open every link and compare the email promise with the destination, form and acknowledgement. Check regional versions separately.
- No scheduled message promotes unavailable inventory.
- Replacement offers are identified rather than disguised.
- Suppression and objection handling remain intact.
- Representatives receive the approved explanation for existing conversations.
Create a withdrawal trigger
Make offer closure a formal input to campaign operations. The service or inventory owner should notify outbound, web, advertising and sales-enablement owners together. Keep a list of dependent assets so the next change does not rely on memory.
Review replies caused by the stale offer and respond honestly where clarification is needed. Do not promise that a replacement is equivalent unless the commercial owner confirms it. Close the incident when both future sends and current buyer conversations use the approved position.
