What makes a booked meeting actually qualified

Separate a calendar booking from a useful sales conversation. Define minimum evidence for fit, relevance and intent without demanding a complete buying plan too early.

Sales strategy planning for meeting qualification criteria

Define qualification for the meeting stage

A qualified introductory meeting is not the same as a fully qualified opportunity. The first requires a credible reason to talk, while the second may require deeper evidence about impact, funding and how a decision will be made.

Write criteria for each stage so appointment setters do not overstate readiness. If a buyer is exploring options without an active project, label that clearly rather than presenting the meeting as an imminent purchase.

Confirm account, person and problem fit

Check that the organisation falls within your supported market and that the attendee owns or influences the relevant process. A senior title alone does not establish fit if the person has no involvement in the issue.

Ask what prompted interest and how the process works today. Record whether the problem is buyer-confirmed, merely suspected by the representative or still unknown.

  • The account fits the target profile
  • The attendee has relevant involvement
  • There is a stated reason to meet
  • Known limitations are documented
  • Unknowns are separated from confirmed facts

Make the purpose explicit

Before scheduling, explain what the next conversation will cover and what it will not promise. A process review, an exploratory discussion and a product demonstration create different expectations.

Confirm the attendee understands who will join from your team and what preparation, if any, is needed. Do not book a sales meeting under the impression that it is independent research or a networking conversation.

Use rejection reasons to improve the standard

Ask the receiving salesperson to explain any qualification concern against a written criterion. Examples include an unsupported geography, an unrelated job function or no shared understanding of the meeting purpose.

Review borderline meetings together and refine the criteria when the same ambiguity recurs. Keep commercial outcomes separate from qualification judgments, because a properly qualified meeting can still end without an opportunity.
